Behind the Work: How Our Team Handles a Same-Day Turnover

A look at what actually happens when a property needs to go from "guest just left" to "next guest arrives" in under six hours.

The situation One of our longer-standing Airbnb clients had a tight calendar: a guest checking out at 11am, and a new guest checking in at 4pm the same day — a two-bedroom unit that needed a full turnover, on a day when the building’s water pressure had been unreliable since an early-morning maintenance issue in the complex.

The challenge Halfway through the clean, the team found the real problem: the AC unit in the main bedroom wasn’t cooling. In Panama, in high season, that’s not a minor issue — it’s the difference between a five-star stay and a same-day complaint. With five hours until check-in, there wasn’t time to treat it as tomorrow’s problem.

How Omar and the team handled it

  1. The cleaning crew flagged the AC issue immediately over the team WhatsApp group, with a photo and the unit’s model number, and kept working the rest of the unit rather than losing time waiting.
  2. Omar, who still gets directly involved when something’s time-sensitive, called a trusted AC technician on standby and had a portable backup unit brought over as a stopgap while the main repair was scheduled.
  3. While the technician worked, the cleaning team finished the turnover around him — same standard, no shortcuts, just working the room order differently to stay out of each other’s way.
  4. Omar did the final walkthrough himself: cooling confirmed, turnover checklist complete, unit reset exactly to the listing photos.

The result The guest arrived at 4pm to a fully cool, spotless unit. The host found out about the AC issue in a message after the fact — not during a scramble, not from a guest complaint. No review was ever at risk.

Why this is the job This is really what eight years in this business comes down to. Omar started Sauber doing standard house cleaning and move-in/move-out jobs. As more of Panama’s Airbnb hosts needed something more reliable than a cleaner who happened to be available, the business grew into what it is now — a team built specifically around the pace and pressure of short-term rentals, where “we’ll get to it next week” isn’t an option.
